Project Scheduling and Operations Coordinator

Herzig Engineering is growing, and we are looking for an organized, steady communicator to keep client schedules, field assignments, and project handoffs moving. About half of this role focuses on scheduling site work for field service engineers. The rest supports project setup, records, field preparation, and weekly reporting.

Why This Role Matters

A well-planned field visit starts long before an engineer or electrician arrives onsite. You will be the person who notices when a contact changed, a travel plan leaves too little onsite time, a request is waiting on utility data, or a job packet is missing a one-line diagram. By resolving those details early, you help our clients receive dependable service and help our field and engineering teams do their best work.

What You Will Do

• Coordinate site schedules and return trips using client needs, field team availability, travel time, and expected onsite work.

• Confirm dates with primary client contacts and keep the right people included as contacts or responsibilities change.

• Send field assignments and next-week job information with clear scope, contacts, site details, and attachments.

• Prepare one-line diagrams, utility information, paper supplies, and other materials needed for field work.

• Manage the project inbox and route, save, or respond to communications throughout the day.

• Create and update project folders, requests for information, due dates, milestones, and closeout records.

• Support preliminary reviews, utility data collection, schedule notices, training links, cancellations, and return trip coordination.

• Prepare weekly status reports and follow up on overdue or incomplete items.

• Spot conflicts or missing information early and work with clients and internal teams to solve them.

What Will Help You Succeed

• Experience in scheduling, project coordination, field service support, customer service, or office operations.

• Clear, professional communication by email and phone.

• Strong organization and close attention to names, dates, attachments, and status details.

• The ability to shift between priorities while keeping commitments and follow-ups visible.

• Comfort with email, spreadsheets, shared files, and project-management or recordkeeping systems.

• Good judgment about when to resolve an issue independently and when to bring in a technical expert.

• Curiosity about field service and electrical safety work. Industry experience is helpful but not required.
